Terms of Service
Last updated: 30 July 2026
1. Agreement to these terms
By creating a SetBook account or otherwise using SetBook, you agree to these Terms of Service and to our Privacy Policy. If you’re using SetBook on behalf of a business, you’re confirming you have the authority to bind that business to these terms.
2. What SetBook is
SetBook is creative-operations software for photographers, videographers, and production teams: projects, contracts and releases, deliverables tracking, invoicing, and file storage. SetBook helps you generate, send, and track documents; it does not provide legal advice, and the contract/release clause library is a starting point you’re responsible for reviewing, not a guarantee of legal sufficiency for your situation.
3. Accounts
You need an account to use SetBook, and you’re responsible for the accuracy of the information you provide and for keeping your account credentials secure. You’re responsible for activity that happens under your account, including actions taken by anyone you’ve added as a team member.
4. Your content and data
You retain ownership of everything you upload or create in SetBook: portfolio images and video, project files, contract and release text, client information, and everything else. You grant SetBook a limited license to host, store, process, and display that content solely to provide the service to you.
You’re responsible for having the rights to upload what you upload, and for having a lawful basis to store any third party’s (client, talent, collaborator) personal information inside SetBook.
5. Acceptable use
Don’t use SetBook to upload content you don’t have the rights to, to harass or discriminate against others, to misrepresent your identity or work, to attempt to access another member’s data without authorization, to scrape or bulk-extract data beyond normal individual use, or to break any applicable law.
Our Community Guidelines (on the Help page) give more detail on the standard of conduct we expect. Violating them or these Terms may result in a warning, suspension, or termination of your account.
7. Your clients’ payments to you
SetBook helps you generate and send invoices and track their status, but SetBook does not process payments between you and your clients: we have no role in moving that money, and marking an invoice as paid is a manual action you take based on payment you’ve received outside SetBook.
8. Your subscription to SetBook
New accounts get a 14-day free trial with no credit card required. You can use SetBook and cancel any time during the trial at no charge. If you don’t subscribe before the trial ends, you’ll be asked to add payment details and choose a plan to keep using SetBook; nothing is charged automatically before you do.
Subscription payments are billed and processed by our payment processor, Stripe, on a recurring monthly or annual basis depending on the plan you choose, and renew automatically until you cancel. You can cancel or change your plan at any time from the Membership page’s billing management, effective at the end of your current billing period.
From time to time we offer optional promotions on top of standard pricing, such as Founding Member pricing for early subscribers or a referral discount for members who refer other paying subscribers. The current terms of any such promotion are described on the Membership page and may be changed or retired for new participants at our discretion; changes don’t remove a discount you’ve already qualified for under the terms in effect when you earned it.
9. Termination
You can stop using SetBook and delete your account at any time. We may suspend or terminate an account that violates these Terms or our Community Guidelines, or that we reasonably believe poses a risk to SetBook or other members. Where practical, we’ll give notice first.
10. Disclaimers
SetBook is provided “as is.” We work to keep it reliable and secure, but we don’t guarantee it will be error-free or uninterrupted, and we’re not liable for indirect or consequential damages arising from your use of it, to the maximum extent permitted by law. Contract and release templates are provided as a convenience and starting point; they are not legal advice, and you should have your own legal counsel review anything before relying on it for a real engagement.
11. Limitation of liability
To the maximum extent permitted by law, SetBook’s total liability to you for any claim arising out of or relating to these terms or your use of SetBook is limited to the amount you paid us for the subscription in the 12 months before the claim arose (or, if you’re on a free trial and haven’t paid us anything, to AUD $100). Nothing in these terms limits liability that can’t be limited under applicable law, such as liability for fraud or for death or personal injury caused by negligence.
12. Indemnification
You agree to indemnify and hold SetBook harmless from claims, damages, and reasonable legal costs arising from your breach of these Terms, your violation of any law, or your use of SetBook to store, send, or publish content or personal information you didn’t have the right to (for example, a client or talent’s personal information you weren’t authorized to collect or share).
13. Governing law and disputes
These terms are governed by the laws of Australia, without regard to conflict-of-law principles. If a dispute comes up, we’d rather resolve it directly, so please contact us first at contact@setbook.app and we’ll try to sort it out informally. If that doesn’t resolve it, the courts of Australia have non-exclusive jurisdiction, and if you’re using SetBook from outside Australia, your local consumer protection laws that can’t be contracted out of still apply to you.
14. Changes to these terms
If we make material changes, we’ll update the “Last updated” date above and, where appropriate, notify you directly. Continuing to use SetBook after changes take effect means you accept the updated terms.
